ROLES AND RESPONSIBILITIES
Our Finance Manager will own the entire Finance function — operations and reporting, with a clear mandate to simplify, automate, and document it as we scale. Here is what that looks like:
Your First 90 Days
You are inheriting a function mid-rebuild. The first 90 days are hands-on: run billing, collections, payroll, and commissions cleanly, stabilize the month-end close, and help us retire manual spreadsheets as reporting moves into QuickBooks. Stabilize first, then build. We tell you this up front because the right person reads it as an opportunity, not a warning.
Financial Operations
- Own all accounts receivable and accounts payable end to end
- Create and send monthly client invoices in QuickBooks and keep client billing records accurate as QuickBooks becomes our single source of truth
- Apply and reconcile all client payments including autopay and ACH remittances
- Categorize and match all bank and credit card transactions in QuickBooks
- Monitor and manage past-due accounts and execute collection calls and written follow-ups at 15, 30, 45, and 60-day milestones, partnering with our collections agency on accounts that escalate past 60 days
- Process all independent contractor invoices and standard accounts payable
- Monitor the Finance and Billing Department email inboxes daily
Payroll and Compensation
- Process bi-weekly payroll accurately and on schedule
- Submit payroll reports to the Head of Operations
- Produce monthly CSM and Sales Commission reports
Reporting and Financial Intelligence
- Deliver a Projected P&L to the CEO and Head of Operations by the 5th of each month
- Deliver month-end reports to the CEO by the 17th of each month
- Produce and maintain the Weekly Finance Report and Finance Department KPIs
- Send the RR Account Register update to the CEO and Head of Operations weekly
- Reconcile all bank and credit card accounts monthly and execute full month-end close, reviewed with our outside CPA, especially during your first months
- Maintain the CSM Client Accounts Report and help retire or migrate the remaining internal tracking sheets into QuickBooks-native reporting
- Maintain the annual expenses report and the inputs that feed company projections
Process Improvement and Scale
- Maintain the data that feeds our weekly cash reporting and 13-week cash-flow forecast
- Support profitability and pricing analysis led by the leadership team with clean, reliable numbers
- Identify process inefficiencies and drive automation and scalability improvements
- Develop and maintain finance SOPs that reduce key-person dependency and support long-term growth
Compliance and Administration
- Work with the company CPA to ensure accurate financials and readiness for annual tax filing (fiscal year ends July 31)
- Renew the Florida Business License annually
- Manage the annual health benefits renewal review
- Maintain vendor approvals and payment controls
QUALIFICATIONS
The must-haves below are real requirements. If you have them but are missing some of the preferred items, apply anyway. We would rather meet a strong operator than a perfect checklist.
Mandatory Requirements:
- Minimum 5 years of finance or accounting experience with at least 2 years owning the full finance function, not just supporting it
- Proven experience managing Finance inside a company doing significant, real revenue: a $2M to $15M business where you personally were the finance function
- Expert-level QuickBooks proficiency — this is non-negotiable (be ready to walk us through exactly how you have used bank feeds, recurring invoicing, and custom reports)
- Demonstrated track record of accurate, on-time financial reporting delivered directly to executive leadership
- Experience processing payroll, managing commission calculations, and executing month-end close
- Strong ability to translate financial data into clear, actionable insights for leadership
- Self-directed with the ability to operate with full autonomy in a remote environment
- S.-based with a willingness to operate within the EST time zone Mon-Fri (9 a.m.–6 p.m.).
- This is a fully remote position. A quiet, dedicated workspace with reliable high speed internet, a working computer, and a professional headset are required.
Preferred Requirements:
- Experience in a professional services, SaaS, or subscription-based business model
- Familiarity with Wrike or similar project management platforms
- Experience working with collections agencies or payment platforms (Stripe is a plus)
- Exposure to accrual accounting and revenue recognition for subscription or services billing
- Knowledge of Florida business compliance requirements
- CPA, CMA, or equivalent certification is a plus but not required
- Familiarity with Google Workspace, Slack, and Zoom
